HALL FAMILY FOUNDATION
Grant Guidelines

Application Process

All grant requests should first be submitted in writing. A brief letter should describe the purpose and activities of the organization, the specific program or need for which support is requested, and the amount being requested. If the request appears to fall within the foundation's areas of interest and meets the guidelines, and if sufficient funds are available to permit consideration of the request, a staff member will contact the organization asking for a more detailed proposal with the following information:

  1. A clear description of the project for which funds are being requested, including program goals and objectives, documentation of need and expected outcomes;

  2. A brief background on the proposing organization or agency;

  3. A detailed expense budget for the project indicating how the funds would be spent and over what time period;

  4. An income statement showing other sources of project support, public and/or private, which have been or will be solicited, including a statement of funds that have been received or pledged to date;

  5. A financial plan showing how the project will be supported beyond the grant period;

  6. Criteria and/or method by which effectiveness of the grant will be measured;

  7. Biographical information on the staff responsible for managing the project;

  8. A list of the organization’s current board of directors and their terms of office. Board members may be contacted for information regarding the grant proposal;

  9. A copy of the organization’s most recent 501 (c)(3) tax exempt ruling from the IRS;

  10. A completed certification of organization status (attached), if your organization is a support organization as defined under 509(a)(3); and

  11. The organization’s most recent certified audit or audited financial statement, where applicable.

Letters of inquiry and initial proposals are reviewed by the staff. The applicant will be contacted if the program officer needs further information or wants to conduct a site visit. This additional information may be needed so that a thorough presentation of the proposal can be made to the board of directors. The average review period is six to eight weeks. Lengthy proposals and phone calls without previous staff contact are strongly discouraged.
